Program Operations Manager

EPIC India is seeking a full-time Program Operations Manager to be based out of its Delhi office. Working closely with the Executive Director, this senior position oversees smooth operations and programs management at EPIC India. Responsibilities include project financial management, grants management, program reporting, donor management, and support to staffing and recruitment processes. The Manager leads an excellent team of operations staff and works closely with EPIC-India leadership and the University of Chicago Trust in India operations teams.

About the Trust 

The University of Chicago Trust (the Trust) is a charitable trust in India, established in 2008 by alumnus of The University of Chicago. The objectives of the UChicago Trust are to provide opportunities for grants to support educational programs, research programs and activities for the betterment of India.

India faces the dual challenge of rapidly improving living standards—through sustained economic growth and expanded access to reliable and affordable energy—while simultaneously reducing pollution for a cleaner and healthier environment. EPIC-India researchers work hand-in-hand with government and industry partners to identify innovative ideas, pilot them on the ground, and rigorously measure outcomes. 

Position Description 

EPIC India is seeking a full-time Program Operations Manager to be based out of its Delhi office. Working closely with the Executive Director, this senior position oversees smooth operations and programs management at EPIC India. Responsibilities include project financial management, grants management, program reporting, donor management, and support to staffing and recruitment processes. The Manager leads an excellent team of operations staff and works closely with EPIC-India leadership and the University of Chicago Trust in India operations teams. 

The ideal candidate is strategic, organized and possesses excellent program and financial management skills, good verbal, and written communication skills with the ability to work well in coordination with cross-functional groups within the organization.  

Operational Responsibilities 

  • Oversee office administration and country operations including financial, HR and IT processes and systems for smooth program delivery. 
  • Develop and implement office and operational policies and procedures for efficient operations.
  • Manage junior operations staff. 
  • Collaborate closely with University of Chicago Trust and collaborators to align operations. 
  • Ensure processes comply with finance, grants, operations, and legal standards. 
  • Manage budgets, forecasts, and resource allocation across multiple projects and funding streams to meet strategic goals. 
  • Manage grants including identifying, applying, and monitoring. 
  • Assist in donor management, reporting and fundraising. 
  • Assist in staffing plans, recruitment, and training.

Project Responsibilities 

  • Coordinate programs and monitor delivery in coordination with EPIC-India ED 
  • Develop and implement processes for regular financial and program reporting to meet donor and project needs. 
  • Support senior leadership at EPIC-India on strategy, program management and other tasks as needed. 
  • Monitor the scope of relevant projects to ensure compliance with donor specifications.  
  • Understand location specific project implementation needs. 

Qualifications 

  • Master’s degree in business administration, business management, operations management, finance, accounting, or related fields.  

Experience  

  • Minimum 8 years of relevant work experience. Experience in working in the development or non-profit sector is a plus. 

Competencies 

  • Proven work experience as Operations Manager or similar role 
  • Knowledge of financial and operations management 
  • Experience in budgeting and forecasting with proven ability to interpret, analyse and effectively communicate financial data. 
  • Experience in grant management and donor management. 
  • Outstanding organizational and program management skills. 
  • Strong problem-solving and analytical skills.  
  • Ability to work with details and time-sensitive issues. 
  • Excellent written and oral communication skills in English. 
  • Strong interpersonal and collaboration skills to work effectively with cross-functional teams, senior management, and other stakeholders. 

Working Conditions 

Candidates must be legally authorized to work in India.
